Content permissions
Content permissions give the couple one clear place to record what their assigned wedding vendors may use, share or post from the event. The same instructions appear in every vendor’s wedding dashboard and are also emailed to each assigned vendor.
This feature communicates the couple’s instructions. It does not transfer copyright, replace a model release, change a vendor contract, provide consent on behalf of a guest, or override privacy law or a social platform’s rules. Everyone must still follow the rights and obligations that apply to the content.
When the couple receives the form
Section titled “When the couple receives the form”Wedding Computer schedules the form five calendar days before the wedding date, using the wedding venue’s local day. Each active couple member receives a link to the form. The couple can also open Content sharing from their wedding workspace before or after that email and can revise their choices later.
If a temporary queue problem prevents the first email, the unsent request remains eligible through the wedding date rather than being silently discarded.
The three content sources
Section titled “The three content sources”The couple chooses a separate instruction for each source:
- Vendor-made content — material made by wedding vendors in the course of their work, such as venue, styling, floral, catering, celebrant, entertainment or planning photos and videos.
- Professional content — commissioned work made by the wedding photographer, videographer or content creator, including galleries, films, reels and delivery folders.
- Couple and guest content — photos, video and posts made by the couple or their guests.
Permission for one source does not imply permission for another. For example, the couple can allow a florist to publish the florist’s own photographs while declining permission to repost the professional photographer’s images.
Allow, decline or delay
Section titled “Allow, decline or delay”For each source, the couple chooses one of these instructions:
- Allowed without a delay — there is no additional post-wedding waiting period.
- Not permitted — assigned vendors must not use, share or post that source.
- Allowed after a delay — the couple enters a number of days. The delay is counted from the end of the wedding booking, or from the wedding date when there is no separate end date. The dashboard and email show the exact date permission begins.
The couple can also add custom instructions covering matters such as credit wording, platforms, excluded moments or people, approval before posting, or a different boundary for a particular piece of content. Custom instructions are included verbatim in the vendor email and dashboard, so they should be written as directions for the whole assigned team.
What happens when the couple saves
Section titled “What happens when the couple saves”Saving creates a new version of the instructions.
- Every active assigned vendor receives an operational email containing the wedding date, all three decisions, each delayed-permission date and any custom instructions.
- The same information appears in the Content permissions section of each vendor’s wedding dashboard.
- A vendor assigned after submission receives the current version automatically, without re-emailing vendors who already received that version.
- If the couple changes and saves the choices, the active vendor team receives the new version.
Temporary delivery failures are retried. Wedding Computer records completion separately for each vendor so a retry does not repeatedly email vendors who already received that version. An address that previously hard-bounced or complained cannot be mailed again; the dashboard remains the authoritative copy for that vendor.
Only active wedding members can open the dashboard. Removing a vendor removes their access to the wedding and its current instructions.
Professional galleries and delivery links
Section titled “Professional galleries and delivery links”When professional content is allowed, with or without a delay, Wedding Computer checks whether a professional gallery or delivery link has been added. If it is still missing, reminders are scheduled:
- 3 days after the wedding ends;
- 6 weeks after the wedding ends; and
- 12 weeks after the wedding ends.
The reminders go to the couple and to assigned vendors recognised as a photographer, videographer or content creator, and are tracked per person. A professional who has already supplied their link is not emailed again, while colleagues whose links are still missing continue to receive reminders. The couple keeps receiving reminders while any assigned professional’s link is missing; a link added by the couple ends the reminders for everyone.
The couple or an assigned professional content vendor can add the link after the event has ended. They can also add text instructions—for example a download PIN, expiry date, credit requirement or note about which folder to use.
A publishing delay does not prevent the gallery from being supplied. During the delay, the couple and the professional who supplied the link can manage it, but the wider vendor team cannot access or use the shared professional link until the permission date arrives.
Vendors can also add links to content their own business made when that source is permitted. Couple-and-guest links can be added by the couple.
What vendors should do
Section titled “What vendors should do”Use the dashboard version before publishing or distributing event content, especially if the couple has edited their instructions since the first email.
- Treat Not permitted as a clear stop for that source.
- For a delayed instruction, wait until the exact date shown.
- Read the custom instructions as well as the three headline choices.
- Continue to follow copyright, licence, contract, privacy and consent requirements even where the dashboard says the couple has allowed use.
- If an instruction appears inconsistent with a contract or with a rightsholder’s licence, resolve that conflict with the couple and rightsholder before posting.
Common questions
Section titled “Common questions”Does allowing professional content give every vendor copyright permission?
Section titled “Does allowing professional content give every vendor copyright permission?”No. It records the couple’s instruction to their wedding team. The photographer, videographer or content creator may own copyright or licence the work under separate terms. Those terms still apply.
Can the couple change their mind?
Section titled “Can the couple change their mind?”Yes. They can reopen the form and save a new version. Vendors are emailed the update and should use the latest dashboard version. A later change does not automatically undo publishing that lawfully happened under an earlier instruction, so the couple should also contact affected vendors directly when something already published needs urgent attention.
What if no wedding date is recorded?
Section titled “What if no wedding date is recorded?”The couple can still review the feature from their wedding workspace, but Wedding Computer cannot schedule the five-day email, calculate an exact delayed date or run post-wedding link reminders until the wedding has a date.
Who can see a supplied link?
Section titled “Who can see a supplied link?”The couple can see links in their content-permissions page. Assigned vendors see links for sources that are currently permitted. During a delay, the wider vendor team does not receive early access to the delayed source.
