Client appointments & reminders
Client appointments add a meeting to your Wedding Computer calendar and send confirmation and reminder emails to the people connected to that wedding — without you writing separate reminder emails or building a recipient list.
Two things make this more than a shared calendar entry:
- Automatic reminders cut down no-shows. Once you schedule the appointment, Wedding Computer sends a 24-hour and a 15-minute reminder on its own. You don’t have to track the clock or send a “don’t forget we’re meeting” message yourself — the system chases the client for you.
- Recipients are resolved automatically, not typed in by hand. Because the appointment is tied to the wedding record, Wedding Computer already knows who’s involved — the vendor, the couple, and the vendor’s contact record for that lead — so every confirmation and reminder reaches the right people without you assembling a BCC list or risking someone being left off it.
Open Calendar → Schedule client appointment, or choose Schedule meeting from a wedding’s command centre.
Schedule an appointment
Section titled “Schedule an appointment”Choose an active wedding you are working on, then enter:
- a preset purpose or your own purpose;
- a future date and start time;
- a duration of 30, 45, 60, 90, or 120 minutes;
- the timezone that everyone should use;
- an optional physical location or video-meeting link; and
- optional appointment notes.
The appointment becomes a linked calendar event. It appears in your Wedding Computer calendar, in the wedding command centre, and in your business calendar feed if you subscribe to it.
Who receives email
Section titled “Who receives email”Wedding Computer sends to the vendor account, active couple members in the workspace, and the email addresses on the vendor’s linked contact record, including a partner address when present. Duplicate email addresses are removed.
The first confirmation is queued as soon as you schedule. A 24-hour reminder is sent only when the appointment was created at least 24 hours before it starts. A 15-minute reminder is sent only when it was created at least 15 minutes before it starts. No reminder is sent after the start time.
Every message includes the purpose, date, time range, timezone, location, and notes when supplied. The link takes the vendor to the vendor wedding view and clients to the couple wedding view.
Privacy and cancellation
Section titled “Privacy and cancellation”Because location and notes are emailed to every resolved recipient, put only client-safe information in those fields. Do not include internal notes, passwords, or a meeting link that should not go to all contacts on the wedding.
Open the appointment from the calendar and choose Cancel appointment to remove the calendar event and stop future reminders. Cancellation currently does not send a cancellation email, so contact the couple separately if they need to know.
What this workflow does not do yet
Section titled “What this workflow does not do yet”This is a vendor-scheduled appointment workflow. There is currently no public self-booking page where a client requests a slot, and clients cannot accept, decline, reschedule, or cancel the appointment inside Wedding Computer. Agree the time with the client first, then use this screen to record it and send reminders.
Plan availability
Section titled “Plan availability”Client appointments and reminders have no separate Pro gate. The business iCal/CalDAV calendar connection is a Pro feature; the appointment itself and Wedding Computer calendar are not.
