Your vendors

The Your vendors section is both your supplier list and a lightweight planning view. It can include businesses already using Wedding Computer and vendors who have not joined the platform yet.

Add a vendor

From your wedding workspace, choose Add vendor. You can either:

start typing the business name under Already on Wedding Computer? and select a matching business, or
scroll to or add them manually and enter the business name, email, vendor type, and—optionally—an expected price.

Either way, choosing Add as interested adds the vendor to your private planning list only. Nothing is sent to the vendor and they gain no access to your wedding — see Interested, Enquiring, Booked below for what that actually means.

Interested, Enquiring, Booked

Every vendor on your list sits in one of three stages. A relationship can only move forward (Interested → Enquiring → Booked, or straight from Interested to Booked) — moving it backward isn’t possible; use removal instead to end it.

Interested — your own private shortlist entry. The vendor is never notified and cannot see your wedding. This is deliberate: it’s what lets you research, shortlist, and compare vendors before you’ve spoken to anyone, without tipping anyone off or committing to anything.
Enquiring — you’ve marked that you’re actually in contact with this vendor (an email, a call, a form you filled in on their site). Marking a vendor as Enquiring still doesn’t grant them wedding access and still doesn’t notify them by itself — it’s a note for your own planning, not a signal sent anywhere. You can keep several vendors at Enquiring at once while you compare quotes and availability, still without anyone finding out who else you’re talking to.
Booked — the vendor is confirmed. This is the only stage that grants wedding access: a Booked vendor joins your wedding workspace and can see the parts of it shared with vendors. If the vendor is already on Wedding Computer, booking them sends them a notification that they’ve been added to your wedding. If they aren’t on the platform yet, booking them sends a wedding invitation email so they can set up a vendor profile and access the workspace — a business name and email are required to reach Booked so that invitation or notification has somewhere to go.

Because only Booked changes what a vendor can see or grants them access, you can safely shortlist and compare vendors at Interested and Enquiring without anyone finding out — nothing leaves your own account until you book someone.

These statuses are for your planning view. They do not replace a contract, invoice, or the vendor’s own booking process.

Expected prices, invoices, and paid totals

You can enter an expected price when adding a vendor or later from their record. The Budget card at the top of the workspace keeps three figures separate:

Expected — the total of the expected prices you entered across vendor records;
Invoiced — the total of non-draft invoices sent through Wedding Computer by Booked vendors;
Paid — the total of invoice payments recorded as paid.

Once a Booked vendor has sent an invoice, their card shows the invoiced amount and payment progress instead of treating your estimate as the final charge.

Private notes for each vendor

Each vendor record has a notes field for the couple. For a Booked vendor, it appears as Your notes on their detail page alongside the expected price.

These notes and expected prices are couple-side planning data. They are not the shared wedding notes and are not shown to that vendor or to other vendors, at any stage.

What a Booked vendor can access

A vendor who reaches Booked becomes a member of the wedding workspace. Their access still follows the workspace permissions:

timeline items are shown according to each item’s visibility;
shared and vendor-only notes follow their own visibility rules;
uploaded files follow the sharing choice made for that file;
invoices remain scoped to the vendor who issued them.

Wedding Computer does not provide direct vendor-to-vendor chat. Coordination happens through the shared timeline and notes, or outside the platform.

Removing a vendor

For a vendor who is still at Interested, Remove this vendor deletes that private planning record. Because the vendor was never notified about being added, they aren’t notified about being removed either — it’s purely a change to your own list.

For a vendor at Enquiring or Booked, removal is different: ending the relationship revokes their wedding access (if they had any) and sends them an email letting them know the relationship has ended. This can’t be undone from the couple screen, so use it only when you’re sure the vendor should no longer be part of the wedding. If you just want to quietly rule someone out, do it before you mark them as Enquiring — once a relationship has moved past Interested, ending it notifies them.
