Information forms and automatic replies
Use an information form to collect details or send a useful reply without always creating a sales lead. Forms are part of Pro; AI-written confirmations additionally require the AI subscription.
Choose the right form
Section titled “Choose the right form”| Form | Contact behaviour |
|---|---|
| Enquiry form | Creates or updates a CRM contact |
| Booking form | Creates a contact and signed booking request with a payment schedule |
| Information/custom form | Creates a contact only when its contact action is enabled |
| Auto-reply starter form | Starts with a reply enabled; review its contact action before use |
Create and configure a form
Section titled “Create and configure a form”- Open Forms and create a custom form, or choose the auto-reply starter when the reply is the main purpose.
- Set the title, description, submit-button text, and any post-submit redirect.
- Add questions and help text. Use Maps to for answers that should become contact fields when contact creation is enabled.
- In When someone submits this form, choose the contact, notification, recipient, and confirmation actions you need.
- Save the settings, actions, and fields using their respective save buttons.
An enquiry or booking form always creates a contact; turning that off is only an option for information forms. Unmapped answers remain with the submission.
Send a reply to the submitter
Section titled “Send a reply to the submitter”Include an email field so there is an address to reply to. Enable the submitter reply and choose a writing mode:
- Fixed reply: write the subject and body. Use the merge fields offered by the editor for names and form answers. Check their spelling and preview values; tokens from another email tool may not work here.
- AI reply: edit the full drafting prompt and any extra guidance, preserving the supported placeholders. Reset to the default prompt if needed, then save the actions. Describe the purpose, tone, and facts the response may use. This requires Pro plus the AI subscription. The reply is generated and sent automatically, so choose fixed wording when an exact message matters.
The auto-reply starter provides a formatted reply to adapt. For example, collect a name and email, then reply with your service information and a link the recipient requested. Review the contact-creation option if you do not want that request added to your pipeline.
Notifications and saved responses
Section titled “Notifications and saved responses”You can notify yourself and send submissions to another email address. Those recipients receive submitted information, so choose an address that should have access to the answers.
Open the form’s Submissions list to review responses. A saved submission and successful email delivery are separate outcomes: if the reply is missing, check the submission, recipient address, reply action, and available subscription before retrying. Do not ask someone to submit repeatedly without checking for an existing response.
Share and review
Section titled “Share and review”Use Share & embed for the hosted link or iframe. Review the public form’s questions and required fields before sharing. It follows your business branding.
For availability-based first-enquiry replies, see Enquiry forms. For later sales sequences, see Enquiry follow-ups; they are configured separately.
