Set up your booking form

Your public booking form lets a client choose a service, provide their details, accept your agreement, and request a booking. It is part of Pro. The request becomes a confirmed booking only after its booking fee is recorded as paid.

This form is different from the booking link attached to a particular invoice. Use the public form when clients should initiate a booking; use an invoice booking link for an invoice you have already prepared.

Before sharing the form:

  1. Add the products clients can book in Settings.
  2. Add Payment Information with the payment methods and instructions you accept.
  3. Add your service contract under Contracts.
  4. Connect Stripe if you also want to offer immediate card payment.

The form’s Before you share this form panel identifies missing payment information or contract setup. Complete those items before sending the link to a client.

Open Forms and select your designated Booking form. In Product and booking fee, choose:

Mode What the client does
Use one default product Books the product you select
Let the client choose from products Chooses from your selected packages
Let the client enter their quoted price Enters the price you have agreed with them

For package choice, select the products that should appear. You can allow a higher quoted package price when the client has an agreed quote above the displayed package price. They cannot use that field to reduce the package price.

In Let the client choose from products mode, select Optional add-ons for extras clients may choose on top of a package. The same product cannot be both a package and an add-on. Extras are added separately to any higher quoted package price.

For example, a demonstration package of 1,000 plus a selected extra of 100 has a total of 1,100 before any separately applicable invoice adjustments. Check the displayed total, tax treatment, booking fee, and remaining payments in the form preview before sharing it.

Choose a fixed amount or percentage for the Booking fee, then set the Remaining installments. The designated booking form requires a booking fee greater than zero.

Review the people, service dates, location, and service-detail questions. Keep the required name, email, and date mappings intact: the editor uses them to create the contact and booking correctly. Save changes in each editor section; saving fields does not also save every setting or action.

Clients with an accessible wedding can select it first, then choose the days this vendor is needed. Service dates must fit within that wedding’s date range. A different wedding or event keeps the booking separate.

Use Share & embed to copy the actual public link or iframe snippet. Open the public preview and check the products, extras, payment information, contract, and required fields. Do not submit a real booking just to test the layout.

The agreement uses the contract wording you supply. The accepted version is recorded separately from later edits to your default template.

The form creates a signed request, contact, and payment schedule. It includes your payment instructions and offers Stripe when connected. Request and contract-copy emails go to the vendor and the supplied client addresses, with duplicate recipient addresses removed.

Two people may share an email address. Enter each person’s own name and details; sharing a mailbox does not make them the same person. Separate sign-ins require separate account email addresses.

Submitting details, accepting the contract, or opening Stripe does not by itself prove payment. Stripe confirmation or the vendor’s manual payment record must settle the booking fee before the booking is confirmed and added to the calendar. See booking status and payments.

If the client leaves Checkout, they should return to the existing booking link. If payment may already have succeeded, check the invoice and Stripe before asking them to pay again.
