Enquiry follow-ups
Enquiry follow-ups help you keep a promising conversation moving after you have personally replied. Wedding Computer can send a sequence of useful emails in the same inbox thread, using either your AI instructions or copy you write yourself.
This is a Pro feature. It supports your sales process; it does not replace your judgement, answer the couple for you, or guarantee a booking.
Open enquiry follow-ups in Wedding Computer
When a sequence starts
Section titled “When a sequence starts”A new enquiry enters the sequence only when all of these are true:
- you have enabled the sequence;
- the enquiry is linked to a CRM contact with a usable email address;
- you send the first personal email or video reply from the Wedding Computer inbox; and
- your account still has Pro when the follow-up is processed.
Enabling the feature does not add earlier enquiries retroactively. An AI auto-reply, enquiry confirmation, system email, or message sent from your usual email app does not start the sequence. Wedding Computer needs the reply in its own sent thread so it can apply the correct timing and stop checks.
Incoming mail is linked to a contact only when the sender passes the email authentication check described in Email. Unlinked inbox mail cannot enter an automatic sequence.
Set it up
Section titled “Set it up”- Go to Emails → Follow-ups. If you have not already done so, claim your
@wedding.computeremail address under Settings → Email. - Review the seven starter steps. You can change their order, delay, name, writing mode, content, and whether each step is active. You can use up to 20 positions, with a delay of 1–60 days per step.
- Choose a writing mode for each step:
- Contextual AI uses your instruction and the current safe context to write the subject and body at send time.
- Fixed email sends the subject and body you provide. It can use
{first_name},{couple_name},{partner_name},{business_name},{vendor_category},{wedding_date}, and{wedding_location}.
- Optionally choose a ready standard video. The video supplements the email; if that video is no longer available when the step runs, the text email can still be sent. See Video emails for privacy, playback, and retention details.
- Choose a local delivery hour from 08:00 to 18:00. Turn on Copy me on every follow-up if you want a visible copy sent to your account email.
- Select Enable for new enquiry conversations, then save.
The copy setting uses the account owner’s email. A copy is omitted when that address cannot be safely used or is the same as the couple’s address.
What the AI can use
Section titled “What the AI can use”Immediately before an AI step, Wedding Computer builds fresh context from:
- your business name, category, bio, location, phone, and website;
- the recipient and partner names, CRM status, wedding date, and location;
- recorded invoice status and amounts; and
- the latest 12 messages in the linked conversation.
Private CRM notes, tags, lead assessments, and internal source labels are deliberately excluded from automatic sends. The AI is instructed to use only supplied facts and never invent prices, availability, payment state, dates, policies, or promises.
Your instruction still matters. Ask for a useful purpose and tone, and avoid instructions that depend on facts you have not recorded. Because an AI email is sent without a draft-review step, use a fixed email whenever exact approved wording is essential.
Timing, replies, and rescheduling
Section titled “Timing, replies, and rescheduling”The first step is scheduled from your first personal reply. Each later delay begins after the previous vendor or automatic email. Dates are calculated in your Wedding Computer timezone and delivered around the local hour you selected.
If the couple sends a new message, automation waits instead of answering it. Reply personally from the Wedding Computer inbox; your reply becomes the new timing point for the pending step. The sequence continues to wait while the couple’s message is the latest message in the thread.
The displayed time is the earliest intended send time, not a promise to the minute. Safety checks, email capacity, provider throttling, retries, and a newly arrived message can delay it.
When follow-ups stop
Section titled “When follow-ups stop”Wedding Computer checks the current state again immediately before every send. Pending follow-ups stop when:
- the contact becomes Booked, Completed, Lost, or Archived;
- the couple clearly replies
stopor asks to unsubscribe; - you stop that enquiry manually or disable the whole sequence;
- your Pro plan ends;
- the recipient address is invalid or suppressed, or delivery fails;
- all active steps have been sent.
Changing an enquiry to Booked is the normal sales-success stop. The final pre-send check is designed to catch that change even when an email has already been queued.
Deleting or disabling a pending step skips that step; the next enabled step can still continue.
Monitor and adjust
Section titled “Monitor and adjust”The Enquiries in follow-up section shows the next step, send time, number sent, completed sequences, and stop reason. You can stop an individual enquiry without disabling the sequence for everyone else.
Review this area regularly. Improve steps that are not useful, keep prices and policies current, and remove unnecessary emails. A thoughtful sequence should add value and make the next decision easier—not create pressure or pretend urgency.
What this feature does not do
Section titled “What this feature does not do”It does not enrol old conversations, see replies sent from another email app, answer a fresh question from the couple, expose your private notes to automatic AI, promise exact delivery times, or guarantee sales. It also cannot detect a booking recorded only in another system: update the contact in Wedding Computer so queued follow-ups stop.
