Team & agencies
If you run a studio or agency with more than one person working weddings — a lead photographer plus second shooters, several planners, or any other multi-person setup — Team lets you keep a roster and assign people to specific weddings. The roster is available on both Free and Pro.
Enabling agency mode
Section titled “Enabling agency mode”Go to Team in the sidebar and click Enable agency mode. This unlocks the team roster; you can turn it off again later from the bottom of the Team page without losing your team member records.
Adding team members
Section titled “Adding team members”From Team → Add member, enter their name, title, email, phone, and any notes. A team member record is a lightweight profile for your own reference — it’s not a separate Wedding Computer login. Team members don’t sign in or see the app themselves; this is your internal roster for tracking who’s working what.
Mark a team member Inactive rather than removing them if they’re just on hold — inactive members are hidden from the active roster but keep their history.
Assigning team members to weddings
Section titled “Assigning team members to weddings”Open a team member’s profile to see every wedding they’re assigned to, along with their role on each one. To make an assignment, open a wedding workspace and use Your team: choose an active team member, add an optional role, and select Assign.
Because a team member’s profile lists every wedding they’re already on, checking it before you offer them for a new date is how a multi-person business avoids double-booking a second shooter, assistant, or coordinator across two weddings at once.
Removing a team member unassigns them from every wedding they were on.
Where an assignment shows up
Section titled “Where an assignment shows up”Assigning a team member to a wedding isn’t just bookkeeping — it feeds two things the rest of the wedding relies on:
- Run sheet assignments. Once assigned, a team member appears as a direct add button under run sheet rows in that wedding, alongside vendors and other workspace members, so you can tag them to a specific item (for example, a second shooter on the ceremony row) the same way you’d tag any vendor.
- The operational packet. A wedding’s operational packet lists the wedding team and roles pulled straight from these assignments. Because the packet can be shared as a link with on-site staff who don’t have accounts — kitchen, bar, or venue crew — assigning your team correctly here is what puts the right names on the document everyone on site is working from, instead of you re-typing a crew list by hand for each wedding.
How this relates to a workspace’s own team
Section titled “How this relates to a workspace’s own team”The Team roster on this page is a different thing from a wedding workspace’s own People list and its Can manage (managing-vendor) flag:
- Team members here have no Wedding Computer login of their own — they’re your agency’s internal roster, not workspace members.
- Vendors, planners, venues, and the couple are workspace members: they sign in themselves, and one of them can hold the Can manage flag that makes them the managing vendor for that wedding’s timeline and operational packet.
- Assigning a team member to a wedding (from this page) makes them selectable as an assignee inside that workspace, but it doesn’t give them a login, workspace access, or manager rights. To give someone their own sign-in and a say in the workspace, invite them as a vendor instead.
