Reusable AI email templates
Prompt templates save instructions for an AI-written email. They are part of Pro plus the AI subscription. A template describes what a message should achieve; the contact, booking, and conversation supply the facts for each draft.
Start with an editable prompt
Section titled “Start with an editable prompt”Every business receives 15 starter prompts for common replies. Open Emails → Prompt templates to inspect them. Your edits and deletions are preserved when starter wording is updated; a deleted starter is not silently restored. AI drafting requires the current Pro and AI subscriptions.
Create a prompt template
Section titled “Create a prompt template”- Open Emails → Prompt templates.
- Add a Template name, such as “Answer a new enquiry”. Names must be unique in your business and contain 1–80 characters.
- Write a Drafting prompt of 1–4,000 characters.
- Select Save prompt template.
A useful starter prompt is:
Write a warm, concise reply that answers the client’s questions using the supplied context. Explain the next step. Do not invent a price, available date, booking confirmation, or promise.
Keep changing client details out of the template itself. Review any standing policy or package information you choose to include whenever it changes.
Use a template
Section titled “Use a template”Start a message from a contact or wedding, or reply to an incoming email. Choose Write from a prompt in the supported composer, then select a saved prompt. Replies use the linked conversation, with the newest message as the reply context. Check the recipient before generating and again before sending.
The app resolves the recipient and relevant business, contact, booking, and conversation context from that starting point. A blank, unlinked compose window may not have enough context to offer template drafting. Return to the original record or conversation if the context is unavailable.
Check the recipient, subject, quoted facts, payment state, and tone. Edit the draft before selecting Send. Generating or saving a template does not send an email.
Business signatures
Section titled “Business signatures”Configure your business email signature in Settings. The composer lets you add or remove it for the current message. Review the complete draft and signature together before sending; a saved prompt and a signature are separate settings.
Edit or delete a template
Section titled “Edit or delete a template”Return to Prompt templates and choose Edit prompt template. Save changes for future drafts. Delete prompt template removes those reusable instructions; already sent emails are unaffected.
Templates remain with the account until you delete them or close the account. Access to AI drafting still depends on the business’s current subscription.
