Documents & files

Anyone in the workspace can upload files to the shared document library — you, your partner, and your vendors. To upload, go to your workspace → DocumentsUpload.

Common files couples upload:

  • Contracts received from vendors
  • Quotes or proposals
  • Inspiration images (moodboards, style references)
  • Ceremony scripts or order of service documents
  • Floor plans from the venue
  • Menu options from the caterer
  • Accommodation booking confirmations

Common files vendors upload:

  • Their own service contracts (attached to invoices, but also uploadable directly)
  • Style guides or preparation documents
  • Ceremony music recommendations
  • Styling runsheets or room setup notes

Any file type can be uploaded — PDFs, images (JPEG, PNG, HEIC, WebP), Word documents, spreadsheets, videos, and anything else. There’s a file size limit per upload; very large video files may need to be shared via a link instead (add the link to the Links pinboard in the workspace).

Files are stored in your wedding workspace folder, not in subcategories. There’s no folder system within the document library — files are listed chronologically by upload date. Use descriptive file names to make them easy to identify.

All files in the document library are visible to all members of the workspace — vendors, the couple, and any guests who have been invited. There’s no per-file visibility control.

If you upload something you want to keep between you and your partner only — like budget documents or personal notes — put it in a couple-only note (as text or a link to an external file) rather than uploading it to the shared document library.

Yes. Click any file in the document library to view or download it. Files are accessible for as long as the workspace exists.

What happens to your files if you stop using Wedding Computer?

Files uploaded to the workspace belong to the workspace. If the workspace is deleted (by the vendor who created it), files are deleted with it. If you want to ensure you have copies, download anything important from the document library before the workspace is closed.

You can export the run sheet as a PDF at any time (Timeline → Export → Print run sheet (PDF)). For other documents, download them individually from the document library.

Can vendors see the contracts you’ve signed?

Service contracts signed through Wedding Computer are visible to the relevant vendor. The signed PDF is stored against the invoice and accessible to both you and the vendor who sent it. Other vendors on the wedding cannot see each other’s contract documents.
